A 1031 exchange has two federal deadlines: 45 days to name a replacement property and 180 days to close. Miss either and the tax break is gone. The firm tracked them in email, spreadsheets, and calendar reminders.

Pain Points

  • Deadlines Tracked by Memory: Two hard federal dates on every exchange, tracked by hand, with nothing to stop a case from running past one unnoticed.
  • No Set Order: The steps of an exchange have to happen in sequence, but nothing stopped a step from being marked done before the one it depends on.

We built a platform that runs each exchange as eight ordered steps, watches every deadline on its own, and puts an AI assistant on each exchange so investors get answers without waiting on staff.

We Provided

  • Eight Steps in a Fixed Order: From signed contract through the sale closing, the trust account, escrow details, the wire verification call, and the final close. A step cannot be marked done until the ones before it are, and investors and staff can each complete only their own steps.
  • Deadlines Watched Automatically: The platform tracks the 45-day and 180-day clocks on every open exchange and sends stronger warnings as a date gets close.
  • An AI Assistant on Every Exchange: Investors ask questions and get answers based on their own exchange: its status, tasks, and documents. Routine questions are answered at any hour, and staff handle the ones that need a person.
  • Alerts and a Full Record: Updates go out in the app, by email, and by text, as each person prefers. Every account signs in with two-step verification, and every change is logged with who made it and when.
